Patient Access · Patient Access Coordinators

Your remote front office team, following your protocols.

At Apollo XCM (AXCM), our bilingual Patient Access Coordinators handle the calls, messages, scheduling, and front-end coordination that keep your clinic running, working inside your systems as part of your staff.

The challenge

Your front desk is stretched thin.

Phones ring through lunch. Messages pile up in portals and voicemail. Referrals, authorizations, and records requests compete with the patients standing at the counter.

Patient Access Coordinators take on that load remotely, so your in-office team can focus on the patients in front of them.

FAQ

Frequently asked questions.

Will this replace my staff?

No. We work as an extension of your team, taking on work that stretches your staff thin so they can focus on the patients in front of them.

Which EMRs do you work in?

We work inside the systems you already use, including Epic, Athena, eClinicalWorks, and more. AXCM meets Epic’s strict security requirements, so we can support practices running Epic, something most of our competitors are unable to offer.

Do your coordinators speak Spanish?

Yes. Our team is bilingual in English and Spanish, so Spanish-speaking patients get the same level of service.

What hours do you cover?

Our nearshore team works in a time zone aligned with US Central and Eastern time, and we support practices in every US time zone. Coverage is set around your clinic hours.

Will my AXCM team member work for other practices?

No. Every client receives a dedicated resource who works only for your practice, just like a member of your own team.

How does your team access our systems?

Your practice sets up login accounts for your assigned AXCM team member in your EMR and other systems, with the permissions you choose. They work in your systems just as if they were sitting in your office, and you can adjust or remove access at any time.

What holidays do you observe?

We observe six US national holidays: New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, and Christmas Day.

How do you protect patient information?

Our team works from secured facilities on company-managed devices, and our support is delivered in compliance with HIPAA regulations. See our security section for more.

How is it priced?

Pricing depends on the scope of work and the coverage you need. Talk to our team for a quote.
